What is CRM?

CRM stands for Customer Relationship Management and refers to business systems designed to manage your customer interactions. Most commonly, a CRM system is used by sales and marketing people. The aim is to help you develop customer relationships, drive business growth and improve customer loyalty.


What is Customer Relationship Management?

It’s about investing time in your current customer base with the aim of retaining their custom and increasing their spend. The CRM system helps automate this by keeping a record of every communication you have with the customer. You can record what they’ve purchased and when, and set tasks to contact them every few weeks or months. This allows you to anticipate when they might want to buy again or if they need anything extra. What is a CRM System?

A CRM system is an IT platform for storing all your customer data and interactions, generated across multiple channels. This might include contact details collected from your website, emails, calls, meeting notes, and your marketing. The beauty of this is that everything you need is in one place, giving you clear visibility of your sales pipeline.


What is Cloud CRM?

Cloud CRM is also known as Software-as-a-Service (SaaS) CRM, online CRM and Web CRM. Cloud has a number of technical and pricing advantages:

  • You don’t need any local servers to run the CRM system on. So there’s no capital cost, no server software and no maintenance
  • Updates, backups, maintenance all done by the Cloud vendor (that’s us!)
  • Users can access the system from anywhere via the internet e.g. home, office or smartphone
  • By running thousands of customers’ CRM system on our servers, we get great economies of scale which we can pass on to our customers
  • By paying monthly or quarterly, you reduce the financial risk and improve your company’s cash flow
  • You can cancel at time


Should I use cloud CRM?

Investing in a CRM system creates efficiencies across your business and encourages team collaboration. Using cloud technology your CRM system is updated in real-time and accessed through your browser. Your team can access the system from wherever they are working, allowing them to track and follow up their sales leads, without duplication of effort. Consequently, nothing falls through the cracks or gets forgotten.

CRM Definition

According to Wikipedia, “The generally accepted purpose of Customer Relationship Management (CRM) is to enable organizations to better serve their customers through the introduction of reliable processes and procedures for interacting with those customers”. Which is as good a CRM definition as any.


History of CRM

First coined in the 1990s, the literal and original meaning of Customer Relationship Management was, simply, managing the relationship with your customer. Today it is used to describe IT systems and software designed to help you manage this relationship.

CRM systems were the must-have products at the height of the internet bubble in 2000/2001. This was followed bya few years of disillusionment as expensive systems failed to deliver the results to meet the raised expectations of the users. The Gartner Group has a Hype Cycle graph showing the traditional pattern of a slow start, followed by unjustified euphoria, down to disillusionment and back to a level of realisable sanity. Which is where we are today!

How to Customise the CRM

You can customise the CRM with Kase.CRM to meet your business needs. It’s is quick and easy to do and makes using the CRM simple too. There are many ways to customise your CRM system, from adding new fields through to controlling user access.

To start with you can easily change the layouts of the data tables by “dragging and dropping” to re-order the columns and removing the columns you don’t want. You can add extra fields to the forms and data tables, and remove the ones you don’t want. You can do this with our module function which is available in all Kase.CRM (Link to Kase.CRM standard) You can also edit the pre-defined values in the dropdown lists and add new ones, using the LookUp Tables feature.

You might also like to customise the sales process screens by defining your own sales stages and opportunity status to meet your requirements.

However, you don’t have to make all the changes all at once. You might want to make the basic changes before you start using the Kase.CRM and then make more as you need them or as your needs change.

Mobile CRM for smartphones and tablets

Really Simple Systems runs on all smartphones and tablets for mobile CRM on the go. Our system has been optimised for mobile CRM use and will adapt to the device you are currently running the system on. Really Simple Systems CRM has been written using a technique called “responsive design” that adjusts automatically to the size of the device you are using.

On smartphones, such as iPhones and Android devices, the CRM system also integrates into the device to call telephone numbers.


Is there a Mobile App?

Our CRM is optimised for mobile use so it automatically adjusts to give you great visibility of your data and quick access. It’s not an app but the full version of the CRM, neatly packaged to give you access to the most important features.


Can I integrate the CRM with my software?

Yes, your Kase.CRM can be integrated with other third party software systems. The integration set up is simple and you can seamlessly create and update customer records between your software and CRM so your customer data is always up to date.

Getting support for your Kase.CRM is simple. Just contact our Customer Support Team by emailing CustomerSupport@kase.edu.vn. Our email support is completely free and our helpful support team has a reputation for being fast and friendly.

CRM Technical Requirement?

Kase.CRM is an online or Cloud CRM system so there are no technical requirements. All you need to use the CRM system is the internet browser that you are using now. There’s no software to install, so you can use the CRM system on PCs, Macs, iPads and smartphones.

Browsers we support include FireFox, Chrome, Safari, Opera and version 7 and above of Internet Explorer.

Because the CRM is cloud-based this means there is nothing to download, nothing to back-up or maintain, and it’s available 24 hours a day, 365 days a year, from wherever you are.


CRM Installation

No CRM installation is required. Because Kase.CRM is cloud-based you don’t “install” our CRM system, you just sign-up and log in. Everything, programs and data, is stored on our servers and you just access the system using a browser.

There is nothing to install, nothing to maintain – Cloud CRM takes away the hassle of running a CRM system!


Is my data held separate from others?

Almost all Cloud CRM systems (and also accounting systems, HR systems, etcetera) are multi-tenanted. That means that data from multiple customers is stored in the same tables/databases. Without multi-tenancy cloud vendors, like ourselves, couldn’t scale and provide the service at such a low cost. So no, your data is not held separate.

For some customers where security is a real issue (we are talking Department of Defense level), we can offer a separate database. But almost all our customers, including Government customers, run on the standard, multi-tenanted, system.


CRM for Macs

If you need a CRM for Macs, iPad, iPhones and on android devices Kase.CRM is a great choice.

The CRM system just uses a browser, so it works with Safari, Chrome, Firefox or any browser that you have installed on your Mac.

And you do not need an App to work on your iPad or iPhone. It’s Kase.CRM just use your internet browser, probably Safari, and navigate to www.crm.kase.vn.

The website will automatically reformat to fit your iPad, iPhone or other mobile device


CRM Backups Frequency and Data Security

At Kase.CRM full CRM backups are taken of every customer’s data every night. This includes all Free CRM systems. .

To make sure your data is secure we also take snapshot backups at a set time each evening and hold it off-site at our offices. This means we can rebuild a customer’s data as at any day in the past should we need to.

The backup data is stored in a compressed and encrypted format. After three months the backup data is deleted from the servers in the datacentres and is archived onto portable media and stored in a locked fireproof safe. We also keep another live server with a copy of yesterday’s data, for quick access when customers inadvertently delete data.


CRM Data Safety

We are very proud of our data safety procedures which make your data very safe.

The data is legally yours, you can download a copy of it at any time.

We run a failover datacentre as well as our production datacentre, that means if the main datacentre fails we switch all our customers to the failover datacentre. This architecture has allowed us to achieve 99.999% uptime, the best for any CRM vendor. We back the data up every night and store it offsite in a fireproof safe. Plus no customer can access another customer’s data.

All in all, without sounding like we’re boasting, we think your data is safer with us than with you – and it certainly won’t be stolen with your laptop.
